Not one of them publishes a per-page rate, the model this market is most often accused of. How we chose, ordered and checked these

Every provider here is sold for M&A due diligence and was included only because we could open and read its own pricing or product page on 15 August 2026 with an ordinary browser request. Each row's source link is the page that carried the most load: the pricing page where one exists, otherwise the product or security page that describes what you get. Where a fact came from a second page on the same provider's site, the cell says so.

The order is by how much a buyer can verify before giving anyone their phone number. Providers that publish a price come first, then providers that publish none. Within the published group the rows run in ascending order of the lowest monthly figure each provider publishes, in that provider's own currency. We have not converted currencies and you should not read the order across currencies as a cost ranking: $399 and £399 are different numbers. Because the order is the argument, no default sort is applied to the table.

Price on application is an honest answer, and how many providers give it is the finding. Five of eleven publish nothing: Firmex, Ansarada, DealRoom, Ideals and Datasite. Datasite is the most direct about why, stating that "Datasite pricing is customized for every transaction. Because each deal is unique, we tailor project quotes to match the specific scope, requirements, and timeline of your project." Ansarada does publish a quote builder, but it loads in the browser after the page and shows no figure in the page itself, so we have recorded it as unpublished rather than guessing at what it returns. Drooms sits in the published group on the strength of a free Starter tier we could read in full; its paid tiers are priced by an on-page calculator that also loads client-side, and we have not published a figure from it.

Per-page pricing deserves a note because it is what this market is best known for. Not one provider in this table publishes a per-page rate. DealRoom is the only one that mentions the model at all, and only to say it does not use it: "we don't charge per-page or per-seat because we believe in pricing that reflects real value, not extra fees." That does not mean per-page pricing has disappeared from quotes; it means nobody here prints one, so you have to ask.

What was left out and why. Intralinks is a major provider in this market and its website refused our checks entirely on 15 August 2026, returning 403 at its own root, so we could not read a current price or feature list and have left it out. Digify's pricing page loads its content from a client-side application and returned nothing readable, so it is out for the same reason. Imprima's pricing page is a contact form with no product detail on it, so there was nothing to compare. None of those three absences is a judgement on the product.

What this table does not tell you. It carries no scores, ratings, review counts or test results, because we have not run a live deal in these rooms. It cannot tell you what a quote will come back at, and on the providers that publish nothing the price is negotiable in a way a published one is not. It records certifications as each provider states them, which is not the same as us verifying a certificate. And it says nothing about the thing that decides most deals: whether your counterparties' advisers can navigate the room at eleven at night. Virtual data room pricing has a reputation for being unpublished, and the reputation is half deserved. This table records, provider by provider, whether a figure exists on the site at all, what unit it is charged in, and what the lowest published entry figure was on the day we looked.

Each row was read on the provider's own website on 15 August 2026 using an ordinary browser request, from the page named in the last column. Where a provider publishes no figure we record that rather than estimating one. Currencies are reproduced as published and are not converted: the entry figures are in US dollars, pounds and euros and are not comparable across rows. Which virtual data room providers publish a price?

Of eleven checked on 15 August 2026, six: SecureDocs from $250 a month, Onehub Data Room Edition from $300 a month billed annually, CapLinked from $399 a month, Virtual Vaults from £399 a month billed annually, Admincontrol from £250 a month for its preparation portal and £685 for the data room, and Drooms with a €0 Starter tier. Firmex, Ansarada, DealRoom, Ideals and Datasite publish no figure.

Is per-page pricing still used for data rooms?

Not on any of the eleven websites we read. DealRoom is the only provider that mentions the model, and only to state that it does not charge per page or per seat. Per-page pricing can still appear in a quote, so ask what the billing unit is before accepting one.

How much does a virtual data room cost for a small deal?

The lowest published flat fee we found was SecureDocs at $250 a month on a 12-month plan, stated to include unlimited users and documents; its 3-month plan is $400 a month. In sterling, Admincontrol publishes a preparation portal at £250 a month and a data room from £685 a month, and Virtual Vaults publishes its Basic tier at £399 a month billed annually or £665 billed monthly. Do buy-side users cost extra?

It varies and it is worth asking first. Virtual Vaults states unlimited buy-side users on every plan and caps sell-side users instead. Admincontrol states unlimited sell-side and buy-side users. CapLinked states unlimited guest users. Onehub charges $25 per additional user, or $20 billed annually, above the five included in the Data Room Edition.

Which data rooms have a Q&A module?

Q&A is described by CapLinked, Virtual Vaults, Drooms, Ideals, Ansarada, DealRoom, Datasite, SecureDocs and Admincontrol on the pages we read. Onehub's pricing page and Firmex's pricing and security pages do not name a Q&A module. Depth varies considerably: approval flows, duplicate detection and question routing are not universal.

Can I get a data room free?

Two providers publish a way to start at no cost. Drooms publishes a Starter tier at €0 a month with 150 MB, two user licences and three data room projects. Ansarada states that the room is free to set up and prepare and that payment starts only when it goes live or 90 days after creation, whichever comes first. CapLinked and Ideals both offer free trials.

Why are Intralinks and Digify not in this comparison?

Intralinks refused our automated checks entirely on 15 August 2026, returning a 403 at its own root, so we could not read a current price or feature list from the source. Digify's pricing page loads its content from a client-side application and returned nothing readable. We do not publish a row we cannot source. Neither absence is a judgement on the product.
